Payment Variance Representative

The Payment Variance Representative reviews and responds to all requests for refunds from patients and insurance companies.  The incumbent is responsible for analyzing all credit balance accounts to determine if a refund or a contractual adjustment is warranted and processes those refunds or adjustments. 

Job Responsibilities/Duties

  • Reviews all newly created credit balances to determine if a refund is due or if an adjustment needs to be posted. 
  • Documents the findings on the account in a timely and accurate manner. 
  • Identifies trends and patterns of payer or internal behavior and communicates them to leadership.  
  • Processes refund requests, when appropriate, or enters an adjustment request in the system.
  • Obtains information, as needed, from appropriate internal sources.    
  • Maintains appropriate supporting documentation for all refunds. Maintains the Refund Log for the purpose of tracking all refund requests.  Verifies refund checks for correctness and mails the checks. 
  • Ensures daily productivity standards are met. 
  • Maintains inventory with no back-log. 
  • Prioritizes assigned tasks and conducts the appropriate follow through. 
  • Responds effectively to questions regarding refund/adjusted accounts and provides an accurate explanation of status.  
  • Performs other assigned duties within the department, including special projects, at the direction of leadership. 


Minimum Education: High School Diploma or GED.

Minimum Experience: Minimum of one (1) year in a patient accounting department. Previous Healthcare Experience.
