Clinic Facility Operations Clerk

The Clinic Facility Operations Clerk performs first tier resolution of facility or mailroom services and maintenance, escalating as necessary.  Provides for a comfortable and attractive physical work environment.  Performs all mailroom and outreach activities.

Job Responsibilities/Duties

  • Performs scheduled rounds to stock bathroom, kitchen, medical supplies and copy paper. Moves/installs office furniture/fixtures, equipment, and hang pictures/boards. Performs light maintenance and repair work: replace light bulbs, paint, plumbing, and other troubleshooting efforts.
  • Supports mailroom: operates folder/inserter, courier bags, and opener. Assists in the proper maintenance and servicing of all facility equipment. Travels to facilities as scheduled or on a needed basis.
  • Processes outgoing patient outreach for Quality Care Team, EMR, Business Development, etc.  Creates labels and completes projects assigned. Audits returned mail for processing and program updates.
  • Receives, assigns, and resolves facility-related help desk tickets.  Maintains Service Level Agreements (SLAs) and ensures that they are met or exceeded 95% of the time.
  • Assists with the maintaining of a clean and organized storage area of internal storage, office supplies, misc. furniture/fixture, surplus inventory from other business units, etc.
  • Maintains proactive working relationships with vendors, ensuring that the highest work ethic and reliability are maintained among them. Ensures that all goods and services delivered by vendors are accounted for and stored appropriately. 
  • Reports and corrects potential safety hazards. Maintain biohazard materials and disposal.  Supports efforts to establish and maintain safety practices for all employees.
  • Support the vision, values and mission of Prospect Medical Systems. Be cooperative and helpful to others within the employee's own department, as well as support positive interdepartmental and communication and cooperation. Provide positive feedback to other employees, both inside and outside the employee's department. 


Minimum Education: High School Diploma or equivalent GED.

Minimum Experience: Two to three (2-3) years in the Facilities arena and mailroom. Moderate problem-solving skills required. A detail oriented, self-motivated individual who has the ability to work effectively with little direction is essential. Ability to coordinate work appropriately, interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.  Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.  Ability to use Microsoft Word, Microsoft Excel, and Microsoft Outlook. Effective communicator.
